How to build an ATS-friendly resume from real experience
An ATS-friendly resume is not a keyword pile. It is a clear, truthful representation of your experience that software and people can scan quickly.
Build an ATS-friendly resume by choosing a target role, rewriting duties as evidence (what you owned, the scope and the result), using the job description’s keywords only where they are true, keeping standard headings in a predictable layout, and reviewing every AI-generated line for accuracy before exporting a text-based PDF.
- Choose one target role per version of your resume.
- Write evidence, not duties: ownership, scope, result.
- Use keywords naturally in summary, experience and skills.
- Review every AI-generated line; you are responsible for accuracy.
1. Start with a target role
One resume cannot communicate every possible direction equally well. Choose a target role and use its language as a reference. You are not copying the job description; you are making relevant evidence easier to find.
2. Write evidence, not duties
“Responsible for project delivery” describes a duty. A stronger bullet explains what you owned, who or what was affected and what changed. If you do not have a precise metric, use a concrete scope such as team size, region, budget range or delivery cadence.
Use only facts you can explain in an interview. A polished invention is still a liability.
Example: “Led release planning for a 9-person team across two time zones, moving from monthly to fortnightly releases.”
A simple bullet formula
Action verb + what you did + scope or tool + result. Before and after:
| Duty (weak) | Evidence (stronger) |
|---|---|
| Handled customer complaints | Resolved 30–40 customer tickets a day in Zendesk, keeping first-response time under 2 hours |
| Worked on reports | Automated the weekly sales report in Power BI, saving the regional team about 4 hours a week |
| Taught Class 9 maths | Taught maths to three Class 9 sections of 40 students; introduced weekly quizzes that improved term-test averages |
| Did testing | Wrote 120 Selenium regression tests for the checkout flow, catching two release-blocking bugs |
Every number above has to be one you can defend. If you do not know the exact figure, use an honest range or describe the scope instead.
3. Use keywords naturally
Include tools, methods and domain terms that genuinely describe your work. Place them in the summary, experience and skills sections where they make sense. Do not hide keywords in white text or repeat them unnaturally.
4. Keep structure predictable
Use standard headings such as Summary, Experience, Education and Skills. Avoid layouts that depend on images or text embedded in graphics. Export the final document and test that the text can be selected and copied. Our ATS resume format guide covers the details.
5. Review every generated line
AI can help you draft faster, but you remain responsible for accuracy. Check employers, dates, titles, technologies, metrics and claims before sending the resume.
